Are you ready to make your mark in the healthcare industry. We are delighted that due to our continued growth, we have a vacancy for an Assistant Planner & Administrator.
The succesfull candidate will ensure all the departmental administration, quotations and invoices are completed in the timescales demanded by our customer base. This includes supporting planning, tender submissions, contract renewals & fleet management.
Your day to day
As part of your role at Howorth, your responsibilities will include:
- Process all incoming Customer purchase orders – including contract orders and internal team orders.
- Process all purchase requisitions to the agreed timetable.
- Complete all service department invoicing to the agreed timetable.
- Complete quotations for all spares and service remedial works
- Deal proactively with day to day queries and requests from internal and external clients in a timely way.
- Scheduling of Engineers, maintaining Engineers diaries and ensuring all paperwork is in on time.
- Schedule and issue work to engineers
- Managing and collating expenses for assigned engineers.
- Maintaining schedule and capacity planning
- Ensure RAMS are completed and Issue RAMS and relevant documents to clients. Ensure a high level of customer service at all times to internal and external customers.
- Provide telephone support when required to on-site engineers.
- Monitoring of workload
- Purchasing / parts ordering of parts for all planned and reactive jobs
- Ensure engineers have the right parts & consumables for jobs.
- Look for Cost Downs – parts and materials.
- Generating sales invoices
- Compiling and submitting tender submissions.
- Organising, completing, and submitting contract renewals.
- Service Division Training Compliance Management (including DBS)
- Fleet Management
- Assisting the Senior Planner as required
- General administrative duties (including but not limited to scanning, filing, Hepa & Waste Certs etc.)
- Tracking of costs & quantities for works
- Generating Utilisation reports and Tracking reports
- Any other reasonable activity as requested by Line Manager or Director
Who you are
Recommended or desired qualifications you would need to fulfil this role:
- Some technical knowledge of HAT’s own products required.
- Excellent communication skills to both internal and external customers – both written and verbal.
- PC literacy.
- Understand the importance of building customer relationships and meeting / exceeding customer expectations.

- Communicate proactively and effectively with internal and external customers – both verbally and written.
- Produce written communication to a high standard.
- Provide a high standard of customer care at all times.
- Remain flexible and display a ‘can do’ attitude in changing circumstances.

- Ability to soft sell additional services to Customers
